Onboarding Specialist

This position is essential for our Talent Acquisition and Professional Services departments to meet the demand for top talent quickly with major employers nationwide. In a typical workday, you could be guiding a client or candidate through the onboarding process, verifying and entering I-9 documents, creating offer letters, initiating background checks, physicals, and/or drug screens, while ensuring compliance with applicable laws and standard procedures. This is a position that requires an exceptionally high level of attention to detail as hundreds of new hires are processed through the onboarding department each year.

  • Reviews background disclosure forms for accuracy and completeness; returns forms for corrections; initiates background investigations for new hires and rehires based on disclosure forms; review background results and submit for adjudication when required; referring applicants to background vendor for disputes; withdraws employment offer when required; informs candidate of status

  • Initiates drug screen for new hires and rehires (including identifying optional drug testing facilities and interacting with the staff to arrange testing); reviews results; escalates positive results to Human Resources Manager; informs candidate of status

  • Provides superior customer service to potential employees, current employees, and clients with issues such as payroll, employment verification, benefits, attendance, contingency status, etc.

  • Utilizes iCIMS on-boarding portal to provide the best candidate experience for new hires during the onboarding process

  • Ensures all required paperwork is completed accurately and in a timely manner to meet customer hire date requests.

  • Corresponds with customers regarding new hire updates and information needed in their Vendor Management System

  • Tracks candidates in queue, new hires, resignations, and terminations; develop and maintain analytics on turnovers, hires per class, and disqualified applicants

  • Provides human resources and payroll forms to employees when requested

  • Creates and maintains new hire folders until the completion of the on-boarding process

  • Maintains on-boarding Excel spreadsheet

  • Assigns start dates and badge appointment times upon completion of contingencies; provides first day reporting information to new hires

  • Requests workers compensation code

  • All other duties as assigned

  • Knowledge of legal policies and procedures related to hiring practices (i.e. equal employment opportunity and affirmative action)

  • Must be proficient using MS Office (Outlook, Word, and Excel); experience with Power Point a plus

  • Must have excellent interpersonal and customer service skills in being flexible, understanding, and discrete in compiling confidential and sensitive information

  • Solid attention to detail with the ability to prioritize work and manage time efficiently

  • Strong analytical skills to identify areas for improvement with trends and common issues; as well as the ability to formulate a solution to various challenges

  • Experience with Vendor Management Systems or Applicant Tracking Systems (iCIMS), a plus

  • Exemplary phone and email etiquette, impeccable client-service skills

  • Highly self-motivated, flexible, enjoys a fast paced environment

  • Excellent organizational skills

  • Ability to work with various departments and foster teamwork

  • Ability to work independently with minimal supervision

  • Ability to work flexible hours in order to accommodate customers nationwide

Education & Experience: Bachelor’s degree with 2 years of human resources experience; or 4 years of human resources experience without a degree; prior onboarding or staffing experience a plus
